How to send an email receipt for a payment in NetSuite

Sometimes a payer asks for proof that their payment went through. You can email them a receipt straight from the Customer Deposit record in NetSuite — you don't need to open Paystand or ask anyone else to send it.

Before you start

  • The payment has already processed, and you have its Customer Deposit record open in NetSuite.
  • You know which email address the receipt should go to. If the customer record doesn't have one, you can type it in before sending.
  • You can see options starting with Paystand - in NetSuite's email template list. These come from the Paystand bundle — if none appear, see If something doesn't look right below.

Sending External Customer Deposit Notification

Step 1 — Start a new email from the deposit

On the Customer Deposit record, hover over the + icon in the toolbar. A Create New menu opens — click Email.

Step 2 — Confirm who it's going to

The Email Message window opens on the Recipients tab. Check that the customer's name and email address are correct. If the email is blank, add it here — the receipt goes wherever this field points.

Step 3 — Choose the receipt template

Open the Message tab, click the Template dropdown, and select Paystand - External Customer Deposit Notification. NetSuite fills in the subject and body using this deposit's details.

Check the template name before you send. Several Paystand templates have similar names. Paystand - External Customer Deposit Notification is the one that sends a deposit receipt to your customer. External Payment Notification and Internal Customer Deposit Notification are different emails.

Step 4 — Send it

Click Merge & Send. Want to see it first? Preview shows the email with this deposit's real values filled in, without sending anything.

After you send

NetSuite logs the message on the Customer Deposit record under the Communication subtab, so you can confirm it went out and reopen it later. If the customer asks for another copy, just repeat the four steps above.

If something doesn't look right

What you're seeing What to do
No templates starting with Paystand - in the dropdown These templates come from the Paystand bundle in NetSuite. Ask your NetSuite administrator to confirm the bundle is installed and that your role can use email templates.
The Recipients tab has no email address Type the address in before sending, then add it to the customer record so it's there next time.
The customer says the receipt never arrived Open the Communication subtab on the deposit to confirm the message was sent, then ask them to check their spam or junk folder.
