When Paystand is first installed in NetSuite, the Paystand role gets the permissions it needs for customers, invoices, sales orders, and the other records Paystand uses. Checkout and the Virtual Terminal work for those records.
Later, if you turn on a new NetSuite feature or install another SuiteApp, NetSuite can add fields or tabs to some of those records. The Paystand role does not always get permission for those new parts automatically. Paystand can no longer open that record, and your customer sees Checkout not available (or a Download Invoice PDF error). Other invoices or sales orders on the same account can still work.
If Paystand fails on only some records after you turned something new on in NetSuite, the Paystand role usually needs one more permission. A NetSuite administrator at your company can add it.
| Warning: Do not give the Paystand integration user the Administrator role to clear the error. Add only the permission that is missing. |
How to Add the Missing Permission
A NetSuite administrator should complete these steps.
- Go to Setup → Users/Roles → Access Tokens.
- Open the Paystand access token and note which role it uses. The name is usually Paystand.
- Go to Setup → Users/Roles → Manage Roles.
- Edit that role.
- Open the Permissions tab, then the subtab that matches the permission you need (Lists, Transactions, Custom Record, and so on).
- Add the permission at the level listed below, then click Save.
The change applies right away. You do not need to create a new access token or reconnect Paystand.
Examples of Permissions Paystand May Need
These are two cases we have already seen. Other SuiteApps can require a different permission.
| What you turned on | What your customer or team sees | Permission to add on the Paystand role |
|---|---|---|
| Tax Details Override on a sales order or invoice (taxes entered by hand on the Tax Details tab) | Checkout or the Virtual Terminal shows Checkout not available for that sales order or invoice. Other records without the override still work. | Lists → Tax Details Tab at Edit. View is not enough. Paystand only needs this so it can open the record; it does not change the taxes. |
| SuiteApp Invoice Presentation Templates | Download Invoice PDF fails with an error about ipt_preference. |
Custom Record → IPT Preference Record at View. |
If You Do Not Know Which Permission Is Missing

Frequently Asked Questions
Why does one sales order fail while another invoice for the same customer works?
Only the records that use the new feature are blocked. In the tax example, a sales order with Tax Details Override turned on fails until the Paystand role can open the Tax Details tab. An invoice without that override keeps working.
Does this mean Paystand is broken for our whole account?
No. Checkout and the Virtual Terminal still work for records that do not use the new feature. The fix is a permission on the Paystand role, not a reconnect of the whole integration.
Do we need a new Paystand access token after we add the permission?
No. Saving the role is enough. The change applies right away.
