Customer Email Changes in NetSuite

Before this release, Paystand saved the email from the NetSuite customer at the moment that customer was first connected to Paystand. Any later change to the Email field on the customer stayed in NetSuite. Checkout, receipts, Virtual Terminal payments, AutoPay payments, and Network Portal sign-in all kept using the original address.

Now, when you update Email on the customer in NetSuite and save, Paystand uses that new address in the places below.

Warning: This starts only after your account is on the new bundle, and only when you save a customer record. The bundle update does not refresh emails that are already in Paystand. Addresses you changed in NetSuite before the update stay as they are until you save that customer again. To bring your current email addresses up to date without editing each customer, contact Paystand Support and we can help you update them.

Where the New Email Appears

Checkout

When your customer pays, the email shown on the payment page is the current Email from the NetSuite customer. The receipt uses that same address.

Virtual Terminal and AutoPay

A payment taken in the Virtual Terminal, or a payment AutoPay takes, saves the current email. The receipt and any notification for that payment go to that address. Payments that already completed keep the email they had at the time.

Network Portal

Warning: The email on the NetSuite customer is the address that can sign in to Network Portal and see that customer's payment history. When you change the email in NetSuite, tell your customer before you save. The new address gets access, and the previous address loses it the next time someone signs in.

Requirements

Paystand NetSuite bundle 2.34.58 or later. Paystand manages bundle updates for your account, so don't update the bundle yourself. To get this version, contact Paystand Support.

You do not have to turn this on. After the bundle update, Paystand applies the new email the next time you save a customer. To stop that, open Paystand Settings and check Disable Customer Email Sync to Paystand.

How the Feature Works

  1. Change Email on the customer and save. An inline edit and a CSV import do the same.
  2. Paystand picks up the new address when it is valid and different from the previous one. Clearing the email leaves the address in Paystand as it is.
  3. The customer record in NetSuite still saves if Paystand cannot apply the new address.

Supported Options

What you change Does Paystand use the new email?
Customer Email, then Save Yes
Inline edit on the customer list Yes
CSV import of a new customer email Yes
Email on a Job No
Email removed, or replaced with an address Paystand cannot use No

Limitations

Payments and messages that already went out keep the old address. Customers you do not save again after the bundle update keep the address Paystand already has. Contact Paystand Support if you want those current addresses updated for you.

A Job is left as it is. Changing the parent customer's email updates what Paystand uses for that parent customer.

If the email was already changed inside Paystand, and it no longer matches the previous NetSuite email, a later edit in NetSuite does not replace it.

An email change made through the NetSuite REST API does not update Paystand. Changes made on the customer in NetSuite, including an inline edit and a CSV import, do.

Frequently Asked Questions

I changed the customer email and checkout still shows the old one. What should I check?

Confirm your Paystand NetSuite bundle is 2.34.58 or later, and that Disable Customer Email Sync to Paystand is unchecked in Paystand Settings. The new email has to be a valid address. Saving the customer after the bundle update is what sends the new address to Paystand. If the email was changed before that update and you have not saved the customer since, checkout still shows the old address. Contact Paystand Support if you want help updating current addresses, or if checkout still shows the old address after you save.

Will my customer's old email still open Network Portal?

Until the next sign-in, an open session can stay as it is. After someone signs in, the email currently on the NetSuite customer is the one that can see that customer's payment history. Tell your customer when you change it.

Do I need to turn this on?

No. After the bundle update, it runs the next time you save a customer. It does not refresh existing addresses on its own. Check Disable Customer Email Sync to Paystand only if you want email changes in NetSuite to stop updating Paystand.
