For: NetSuite merchants who take payment at a counter, will-call desk, or over the phone — and use one shared customer record for many different walk-in buyers (for example, Walk-In Customer – Sacramento).

0. The problem this solves
Many stores keep a single NetSuite customer for everyone who walks up to the register. That is normal — you are not going to create a new customer record for every stranger who buys a computer or a part and leaves.
The standard Paystand Virtual Terminal was built for one buyer per customer: it can show saved cards and “pick a payment method” lists. On a shared walk-in customer, cards from hundreds of unrelated people pile up in the same place. Staff can accidentally charge yesterday’s visitor when today’s customer hands over a different card — even if someone checked “one-time payment only.”
Walk-in Virtual Terminal is built for your reality: one shared customer in NetSuite, many different people at the counter. Staff always see a dedicated Walk-In Payment screen (green header), enter only the card or bank account in front of them, and tap Pay. Stored cards never appear. After a successful charge, that payment method is turned off so it cannot be used again.
Good to know: Your normal customers — with saved cards, Autopay, or repeat orders — stay on the regular terminal. Walk-in mode applies only to customers you mark in Paystand.
1. How to enable (account)
Turn the feature on once for your Paystand account. You need a NetSuite-connected Paystand dashboard and permission to edit account settings.
- Sign in to the Paystand dashboard.
- Go to Settings → General.
- Scroll to the Virtual Terminal panel.
- Turn on Enable walk-in customer’s virtual terminal.
While the switch is off, the walk-in option stays hidden on customer records and everyone keeps the standard terminal.
If you do not see the Virtual Terminal panel, confirm your account is integrated with NetSuite.
No NetSuite bundle update is required for walk-in mode.
2. How to set up (mark your walk-in customers)
After the account switch is on, tell Paystand which dashboard customers represent counter traffic — usually one per branch or location.
- Open the customer in the Paystand dashboard (the payer tied to your NetSuite walk-in customer).
- Scroll to the bottom of Contact information.
- Click Set as walk-in customer. (Caption: Set in Paystand — not synced from your ERP.)
- In the Walk-in customer modal, choose Enable, read what will change, and click Save.
3. How it looks and works

When you pay from NetSuite for a walk-in customer, you get a green-header Walk-In Payment experience: one screen to enter payment details and pay. No saved-card list. No “Change Fund.”

Sales Order or single Invoice — pay in one step
- Open the order or invoice in NetSuite and click Pay with Paystand.
- Confirm the title bar says Walk-In Payment (green header).
- Check the order or invoice details and amount at the top.
- Choose Card or ACH, enter the visitor’s payment details, and click Pay $X.
- When you see Payment Complete, click Close and refresh NetSuite if needed.
Amounts: You can charge up to the order or invoice balance (and less for a partial payment when your workflow allows it). If the amount is too high, Pay is disabled until you fix it.
Fees: If your account uses convenience fees, you may see fee lines and an optional Disable fees for this order checkbox.
Pay Invoice(s) — multiple open invoices
- From the walk-in Customer in NetSuite, click Pay Invoice(s).
- Select invoices (search, Select All, running total), then Continue.
- On Walk-In Payment, enter Card or ACH details (no “Select a payment method”).
- Review totals and fee plan, then click Create Payments.
If only one invoice is open, the invoice picker is skipped.
If something goes wrong
- Card declined: Stay on the same screen and tap Try again — never a list of old cards.
- Address verification (AVS): Billing street and ZIP may be required if your account enforces AVS.
- No green Walk-In Payment header: Stop before entering a card. Check the account switch (section 1) and that this customer is marked walk-in (section 2).
Quick answers
Do we need a new NetSuite bundle? No.
Can we keep one NetSuite customer for all walk-ins? Yes — that is what this feature is for.
Will this affect our regular customers? No. Only customers marked walk-in use this terminal.
