How to Set Up the Receivable Routing Filter for Business Central

Use the Receivable routing filter so Paystand only syncs the Microsoft Dynamics 365 Business Central invoices that match your AR rules — for example cash-only Project Type, or every department except one ACH-only code.

Important: The filter is off by default. Configure it on Integrations → Business Central. Prefer enabling it before the first sync when you want non-matching invoices never to enter Paystand.

Before you start

  • Your Paystand account is connected to Business Central (or you are finishing connection on Integrations).
  • Your Business Central environment has the current Paystand extension. See How to Keep the Paystand Extension Updated in Business Central.
  • You know which dimension code on the invoice header should drive routing (for example Project Type or Department). Line-only dimensions are not used.
  • You know whether you need an Allow list (small “good” set) or an Exclude list (small “bad” set).
  • You have access to update Integrations in the Paystand Dashboard.

Coming soon — before you enable hide on live data

Paystand is finishing work so hidden receivables are also blocked from checkout, the payer portal, autopay, and related totals.

Target ship date: Monday, October 5, 2026, by end of day. After that release, hidden receivables will no longer be payable or counted on those surfaces.

Until that update ships:

  • You can still set up dimension values in Business Central, configure the filter, and use Check impact.
  • If receivables are already in Paystand, do not treat soft-exclude / hard-hide as a complete payment stop yet.
  • Safest path for go-live: finish BC dimension placement, configure the filter, and enable it so the first sync already respects the rules.

1. Open the Receivable routing filter

  1. Sign in to the Paystand Dashboard.
  2. Open Integrations.
  3. Select your Business Central connection.
  4. Scroll to Receivable routing filter.

The routing filter sits on the same Integrations page as Customer sync filters.


2. Enable the filter and choose a dimension

  1. Turn on Enable receivable routing filter.
  2. Under Dimension code, select the Business Central dimension that should drive routing.
  3. Under dimension values, select or type the values to include (Allow list) or exclude (Exclude list).

Pick any dimension code that appears on the invoice header dimension set. You do not need to change Global Dimensions 1 or 2 in Business Central if your code already posts to the header (for example as a shortcut dimension).


3. Choose Allow list or Exclude list

  1. Select Allow list to sync only the selected values. Invoices with no value for this dimension do not sync.
  2. Or select Exclude list to sync everything except the selected values. Invoices with no value still sync.
  3. Optional: turn on Use customer default when missing on invoice so Paystand can read the customer card’s Default Dimension when the invoice header has no value.

4. Soft exclude (Exclude list only)

  1. If you use Exclude list, leave Soft exclude (recommended) on unless you intend a full cutover.
  2. Soft exclude stops new matching invoices from syncing but leaves already-synced matching invoices visible.
  3. Turning Soft exclude off (hard exclude) hides already-synced matching invoices from the merchant Receivables list. Prefer Soft exclude unless you deliberately want that cutover.

Soft exclude is recommended when you only want to block future syncs.


5. Check impact and save

  1. If receivables already exist in Paystand, select Check impact and review how many would remain vs be hidden.
  2. If nothing has synced yet, Paystand notes that rules apply to the first sync; impact preview is available after receivables exist.
  3. Select Save filter.
  4. Use Discard changes if you need to revert an unsaved draft.

After connect, you can edit routing rules anytime; Check impact uses live open receivables.


Verify

  1. Confirm the filter shows enabled with the expected dimension code, mode, and values.
  2. After the next sync (or first sync), open Receivables and confirm only expected invoices appear.
  3. In Business Central, spot-check that excluded (or non-allowed) posted sales invoices are the ones that should stay out of Paystand collections.

Troubleshooting

The Receivable routing filter card is missing

  1. The Business Central connection is not available. Confirm Integrations shows Business Central as connected or in progress.
    Fix: Complete connection, then refresh the page.
  2. Your extension is out of date. Update the Paystand Business Central extension, then reload Integrations.

Unexpected invoices still sync

  1. The dimension is only on invoice lines. Paystand evaluates the header dimension set only.
    Fix: Work with your BC partner so the dimension posts to the sales invoice header.
  2. Allow list with blank values. Untagged invoices do not sync in Allow list mode. Confirm customer defaults if you rely on fallback.
  3. Exclude list with Soft exclude on. Already-synced matches can remain visible by design.
    Fix: Use Soft exclude off only if you intend to hide them from the merchant list (and wait for payment-surface coverage described above).

Save filter stays disabled

  1. No dimension code selected while the filter is on.
    Fix: Choose a dimension code, run Check impact when required, then save.
  2. Impact is stale after you changed values.
    Fix: Run Check impact again for the current draft, then save.
